Sync and data freshness

Every connected platform syncs on its own schedule, and Kreel keeps working in the background to build out history after you connect. This page explains what happens right after you connect, how often each platform refreshes after that, how to trigger a sync yourself, and what “fresh” actually means for each type of data.

Kreel starts pulling your history automatically as soon as you approve access. You don’t need to trigger anything yourself.

It works in stages, newest data first:

  • The most recent 30 days lands first, usually within minutes.
  • Kreel then keeps working backward automatically: roughly the last 13 months, then up to 2 years of reporting history for Meta Ads and Google Ads (Klaviyo history goes back up to 365 days).
  • For Shopify, Kreel keeps going all the way back through your full order history.

Each batch becomes queryable as soon as it finishes, not only once the whole backfill completes. That means you can start looking at recent performance while older history is still loading behind it.

On the Connections page, each platform shows which stages are verified so far: Recent reporting, Monthly YoY, Full YoY, and (Shopify only) All order history. Each is checked off once Kreel has confirmed that range is covered. Accounts with years of history can take a while to fully backfill. You don’t need to keep the page open, and you can use Kreel right away with whatever data has landed so far.

Once the initial backfill is caught up, each platform settles into a routine schedule:

As a safety net, Kreel also recomputes the cross-platform tables it reads from once a day, so a missed step in the pipeline doesn’t quietly go stale.

You don’t need to wait for the routine schedule.

  1. Sign in to Kreel and open Connections in the left navigation.
  2. Find the platform you want to refresh.
  3. Click Re-sync to pull the latest data right away, or Re-sync all in the page header to refresh every connected platform at once.

While a sync is already running for that platform, the button shows Syncing… or Queued… instead.

Each connection on the Connections page shows a status: connected, warning (a token is expiring or has expired), error, or disconnected. If Kreel needs you to re-authorize, that’s called out ahead of a generic warning or error, with a prompt to reconnect.

A few other things to check if something looks off:

  • Expand a connection’s row to see its Details panel, including recent sync history. Each past job is marked OK, RUNNING, or WARN, with a row count and how long ago it ran. A failed or cancelled job shows its error message inline.
  • If a historical backfill stage fails, a Retry history button appears next to that stage. For a routine sync job that failed, trigger a fresh Re-sync rather than waiting for the next scheduled run.
  • While a sync is actively running, a progress bar shows rows processed, updating roughly every 5 seconds.
  • Klaviyo, Meta Ads, and Google Ads tokens show when they expire, or how long ago they expired. Kreel automatically refreshes these every 15 minutes, well ahead of expiry, so this is mainly a signal something needs attention if you see it. Shopify’s connection doesn’t expire under normal use.
  • Re-authorize is always available from the expanded row, whether or not that connection currently needs it.

Shopify and Klaviyo move much closer to real time. Shopify re-syncs every 6 hours and reflects each order’s current state, including refunds and edits since the last sync. Klaviyo’s daily sync pulls in data through the current moment rather than stopping at yesterday, so newly-synced Klaviyo data can already reflect today’s activity.

Even so, reporting windows like “last 7 days” are always whole calendar days in your brand’s reporting timezone and never include today’s partial data, on any platform, Klaviyo included. See Dates and comparisons for the exact rules.

Because Shopify revenue reflects each order’s current state rather than a frozen snapshot, a number you looked at earlier can shift slightly as refunds and edits land. See Revenue accounting for why this can differ from Shopify’s own Total Sales report.

To disconnect a platform, open Connections, find the platform, expand it, and click Revoke. Kreel stops syncing immediately and deletes the stored credentials.

Your synced data isn’t deleted right away. Kreel keeps it for 90 days in case you reconnect:

  • Reconnect the same account within 90 days and your history stays intact, with nothing lost.
  • Connect a different account on the same platform and Kreel clears out the previous account’s data first, since it can’t hold two accounts’ data for the same platform at once.
  • After 90 days with no reconnect, the data is permanently deleted.
